How to handle generic email addresses

Learn how to link generic email addresses to their respective Trading Partners in Lucy


As Lucy requires a customers email address or domain to be linked to a Trading Partner, customers that send their Purchase Orders from certain types of ordering systems can result in their emails coming from system generated, generic or no-reply email addresses such as ‘noreply@unleashedsoftware.com,' and ‘accountright@apps.myob.com’ for example.

If you receive emails from customers using this type of email address, then you’ll be required to take a couple of additional steps in order to teach Lucy who those customers are, and what Trading Partner you’d like their emails to be assigned to.

When you see an email like this, and the customers email address hasn’t been assigned to a trading partner yet -

Take note of the From ‘Name’ as well as their email address/domain.

You should be able to see this detail on the original email, but if you need to check this in Lucy - before you click ‘Create / Link Trading Partner,’ instead go to All Tasks…

and click View Document…

In the message review screen, you can take note of, and even highlight and copy the customers From address ‘Name’ for the next step…

Now that you have that info on hand, don’t click Create / Link Trading Partner, but instead select ‘Trading Partners’ from the Lucy drop down menu…

 

Now we can use the customers email address + their name to help link them to a trading partner in Lucy.

To setup a new trading partner for this customer, click ‘Add New Trading Partner.’ Or if you want to link this email to an existing Trading Partner, search for the Trading Partner and click ‘Edit.’

If you are setting up a new Trading Partner, fill out the Trading Partner Details as you normally would, the important part comes next at the Email Details section.

Here we can add the customers email address or domain + the name that you found in the header information of the email.

Once those are entered, click ‘Add,’ and then ‘Save & Exit.’

Lucy will now prompt you to process the email that is now linked to this Trading Partner.

Just click ‘Process’ if you’re satisifed that you’ve now linked that customers email to the correct Trading Partner, and that’s it!

Lucy should now automatically allocate any future emails from this customer email address to the correctly assigned Trading Partner, and you’re free to move on with your day.
