Lucy Trial Process

All you need to know to get started with your new trial in Lucy.


Hi! Thanks for starting a Lucy trial. The purpose of this trial is to allow you to see the end-to-end process of how Lucy handles purchase orders.

To keep things really simple, Lucy won't have any access to your ERP or other systems during your trial.

And so she won't have access to all that important data (about your products, pricing, and customers) that you store there.

What that means is that this trial isn't going to allow Lucy to showcase the full extent of her AI smarts around price corrections, product suggestions and validation.

But that's OK.

While Lucy's greatest strength is her deep integration, this trial is more about you getting a feel for how she works, and us learning a bit about your business so that we can configure Lucy to best support you going forward.

Getting started is really easy. When you signed up for your trial, Lucy sent you an email with a link to set your password.

Click that link, set your password, and you'll be logged into the Lucy application.

You should see a screen that looks something like this (particularly if your name happens to be James!)...

For your trial, Lucy has created an inbox for you to send all of your test orders to and you can see she's given you the email address for that inbox right there on the screen.

Getting started is simply a matter of grabbing an order from one of your customers, attaching it to an email, and sending it through.

It's important to note here that the Purchase Order you send through to Lucy needs to be a digital PDF. It can't be a scanned photocopy, image, or screenshot of an order - it's got to be a proper digital, computer-generated PDF.

Once Lucy receives the order, she'll get you to proceed to mapping.

Mapping is where you teach Lucy where to find all the critical information on an order from a particular customer.

You only need to create a map once for a customer. After that, Lucy takes it from there.

So click the 'Create Map' button and Lucy presents the purchase order, along with some basic order fields down the right hand side.

In case you're wondering, these fields can absolutely be customised for you once Lucy is set up to integrate to your ERP.

But for this trial, we'll just stick to the basic requirements for a sales order.

We'll go ahead and map the Purchase Order Number, the Delivery Address, and the standard product fields such as the Product Code, the Quantity, and the Price.

To map your first field, just click the 'Map' icon to the right of the field name and then use your mouse to drag and highlight the area you want Lucy to check.

When you're happy, move to the next field and again, drag and highlight.

You'll see there's a little grey box that pops up in the top right corner of each field. If you click that box, Lucy will show you what she's found in the area you've highlighted.

So that's a really good way to check and see that you've captured everything, that you haven't got anything strange, or that it's not completely empty.

We'll go ahead and finish mapping the other fields…

And once we're done, we just click the 'Reprocess' button up in the top right and Lucy handles it.

She'll read those fields that you've mapped, and create a sales order.

Voila! Order complete.

Lucy now presents you the finished order and its status.

She shows the original email and PDF purchase order, and displays the order information that she's used to create the sales order.

This includes all the order lines, as well as header data such as the Customer name and delivery address (for example).

And that's it - that's all there is to it!

Now it's your turn. Go ahead and send your first order through to Lucy.

Create a map, and watch her process the order. Then, send some more orders through and see her process those.

If you send an order from a different customer, you'll notice that Lucy will prompt you to create a new map for that customer and their unique purchase order layout.
